Groups Terms of Service

The Guesthouse Vancouver

Please read these Group Terms of Service carefully before making a group booking at The Guesthouse Vancouver. These terms apply to all group reservations. By proceeding with a group booking, you agree to be bound by the following conditions.

1. Group Size & Eligibility

  • A group booking is defined as 9 or more guests staying at The Guesthouse Vancouver

  • A designated group leader must be 18 years or older

  • The group leader is responsible for all members of the group

  • Accurate and complete group details must be provided at the time of booking

 

2. Booking Confirmation & Payment

  • Group booking requests are not confirmed until approved in writing or by email by The Guesthouse Vancouver

  • Full payment is required to secure the booking

  • Payment must be received no later than 4 weeks prior to arrival

  • Funds received will be held as a deposit and applied to the final stay cost at check-in

  • Payments may be made by credit card or bank transfer

  • Failure to meet payment deadlines may result in cancellation or modification of the booking

 

3. Cancellations & Refunds

  • All group cancellations must be submitted in writing or by email by the group leader

  • Refunds, where applicable, follow the cancellation policy outlined below

 

4. Group Cancellation Policy

  • More than 4 weeks before arrival: 100% of deposit refunded (minus transfer fees)

  • 2–4 weeks before arrival: 50% of deposit refunded (minus transfer fees)

  • Less than 2 weeks before arrival: No refund

 

5. Group Conduct & Responsibility

  • The group leader is responsible for ensuring all guests follow house rules

  • Any damage caused by group members will be charged to the group leader

  • The Guesthouse Vancouver reserves the right to terminate a group stay or refuse service due to disruptive behavior, without refund or compensation

 

6. Check-In & Check-Out

  • A valid credit card must be provided by the group leader to cover potential incidentals

  • Check-in: after 3:00 PM

  • Check-out: before 11:00 AM

  • All guests must present valid government-issued ID at check-in

  • At least 1 week prior to arrival, a completed room allocation list must be returned, including:

    • First and last name

    • Gender

    • Nationality

    • Date of birth

    • ID document type, number, issuing country, and expiry date

  • Late check-out without prior approval may result in additional charges

 

7. Liability

  • The Guesthouse Vancouver is not responsible for loss, theft, or damage to personal belongings

  • Guests are responsible for their own safety during their stay

  • The Guesthouse Vancouver is not liable for injuries, accidents, or losses, including those related to recommended or organized activities

 

8. Modifications or Termination

The Guesthouse Vancouver reserves the right to modify or cancel group reservations due to unforeseen circumstances beyond its control. In such cases, reasonable alternatives or appropriate refunds will be offered.

 

9. Governing Law

These Terms of Service are governed by the laws applicable in the jurisdiction where The Guesthouse Vancouver is located. Any disputes will be subject to the exclusive jurisdiction of the local courts.
